Exhibits Coordinator

Description

Reporting to the Director of Sales and Marketing and working under limited supervision the Exhibits coordinator is responsible for planning, organizing, and participating in exhibits and promotional operations for book trade shows and academic conferences, as well as coordinating local and remote setups, operations, hired labor, services, and logistics.

Essential Job Functions

  • Support press representatives in person and from the company offices for each conference 

  • Maintain a grasp of the Press’s key areas of scholarly interest while understanding how these relate to both their respective academic fields as well as the Press’s broader mission

  • Work closely alongside our distribution center and staff to coordinate logistics for books, exhibiting personnel, and materials, often with multiple points of origin

  • Track and manage deadlines and administrative requirements across 32 trade shows and academic conferences, facilitating registration and payment, as well as any hired labor, services, and materials required for exhibiting

  • Coordinate book shipments and drayage

  • Work closely alongside editorial staff to generate exhibit display title lists and promotional materials

  • Manage remote sales processing

  • Work with advertising and editorial departments to make ads for each conference

  • Reserve booth and advertising space

  • Plan booklists for display

 

Minimum Qualifications

  • Three years related experience and High school diploma or equivalent: some college preferred or an equivalent combination of education and experience

 

Additional position-specific minimum qualifications

  • Strong organizational and problem solving skills 

  • Excellent written and verbal communication skills

  • Ability to work independently and collaboratively with a team 

  • Knowledge of Edelweiss

  • Proficiency in Microsoft Office especially Word and Excel, as well as Google applications 

  • Ability to travel to conferences
