Editorial Assistant


Rutgers, The State University of New Jersey, is seeking an Editorial/Media Assistant for Rutgers University Press. The acquisitions department of the Press is responsible for finding, developing, and negotiating contracts for the books the Press publishes. This position reports to the Editor-in-Chief/Associate director, but may also assist the other acquisitions editors. The Editorial/Media Assistant also occasionally oversees the work of casual hourly help and work study students in the department.

Among the key duties of this position are the following:

• Researches and writes preliminary project descriptions for internal meetings at which contract offers are decided upon, as well as early drafts of descriptive copy for meetings with faculty editorial committee.

• Prepares preliminary budgets for individual book titles.

• Helps shepherd titles through outside reviewer process.

• Helps editor(s) contact prospective authors prior to academic meetings and occasionally represents the Press at academic meetings.

• Works closely with author(s) and/or volume editor(s) to make sure they fulfill their contractual obligations at the time the manuscript is delivered.

• Prepares Press-wide memo for each book at the time it enters the copyediting and production process (collates all book information relevant to marketing, production, and business departments).

• Formats manuscript for use by the production department.

• Organizes illustrations and corresponding permissions for use by production department.

• Screens and responds to incoming correspondence, including unsolicited proposals and manuscripts, as well as telephone calls and other queries from authors, agents, and co-publishers.

• Serves as liaison between Press and faculty editorial committee. 

• Prepares, formats, and distributes packet of materials on upcoming books for committee; schedule and facilitate meetings with committee and appropriate Press staff.

Minimum Education and Experience

• Requires a bachelor’s degree preferably in English, journalism, communication, marketing or an equivalent combination of education and/or experience that demonstrates general knowledge, skill, and understanding of writing, formatting, copyediting, proofreading, print production, promotional advertising, organization, coordination, and/or facilitation.

Required Knowledge, Skills, and Abilities

• Requires good communication skills and computer literacy.

• Requires a high level of independent activity, responsibility, and necessary training.

Preferred Qualifications

• Office or related experience. 

• Graduate degree. 

• Previous publications experience (particularly in university press publishing).

• Phone, fax, and copy machines
• Cornerstone
